First, I would like to start with, the massage therapist did a great job and had no issues whatsoever. What I had issues with is their scheduler, I think her name is Lea. I asked for her full name so that I can place a formal complaint but would not provide me. I asked to be seen by a different therapist so that I can compare and choose who I can meet for longer term. First, she responded with "the other therapist doesn't have any openings". On my first session I got to meet both therapist and she was open to meet for appointments, so I arranged a meet with her, provided that I have the authorization/referral changed to her name being added. I contacted my insurance to change the referral and add the other therapist. I contacted my insurance, and they changed it with no issues.
I received a call the next business day from Lea. She had then told me that I'm not able to meet with the second therapist due their policy. She told me that I had to stay with the same therapist for the duration of my referral. I had the feeling that she was not telling the truth, so I asked to show me their policy. I also needed that to explain to my insurance why I can't do so.
The scheduler lied to me to prevent me from seeing another therapist. I have no idea why, but I can only assume that it makes her job easier if she does it her way instead of giving customers an opportunity to do so.
It's unfortunate to end up like this when I was really looking forward to continuing doing business with them.
If anyone has any information on how to place a formal complaint, please direct me to it so that I can do so.
Hi Michael, thank you for taking the time to share your feedback. We’re glad to hear that you were pleased with the massage therapy you received. I’d like to provide some clarification regarding the scheduling concerns you mentioned.
When you first contacted our office, you specifically requested a massage therapist who was credentialed with the VA. At that time, only one of our therapists had completed the VA credentialing process. Because of that, we explained that we needed to receive your VA referral before we could schedule your appointment, and encouraged you to follow up with the VA as needed. Once the referral arrived, we were able to book your first session.
Before your initial appointment took place, you happened to see our second therapist and requested to switch to her. She kindly scheduled you for two upcoming sessions, not yet realizing that your appointments were tied to a VA referral.
Unfortunately, the second therapist was not yet VA-credentialed, and your referral was valid only for the therapist you were originally scheduled with. VA policy requires a separate referral for each provider, and we are obligated to follow VA guidelines for all patients using VA benefits.
When Leah called you to explain this, she was simply relaying those policies and ensuring we remained compliant. After your request, we also contacted the VA directly to confirm the rules, and they reiterated that a new referral is required to switch providers. They also confirmed that this procedure is standard and not specific to our clinic.
We understand that this was disappointing, and we’re sorry for any frustration it caused. Leah’s intention was never to withhold options from you—only to follow the requirements outlined by the VA and to be transparent about the availability of our therapists, especially since our second therapist works limited weekends and is booked several months out.
We value your interest in continuing care with us and regret that this situation left you feeling otherwise. If you would still like to file a formal complaint, you may do so directly through the VA Patient Advocate department, which oversees matters related to VA referrals and participating providers.
